GENERAL TERMS AND CONDITIONS OF PARTICIPATION AND ACCOMMODATION – IBERCUP
CHAPTER I — REGISTRATION AND FINANCIAL MANAGEMENT
CLAUSE 1 — CONFIRMATION AND INITIAL PAYMENTS
Compliance with financial deadlines is an essential condition for maintaining the reservation and sporting participation.
1.1 First payment (slot reservation): to secure a place, the first payment must be made within a maximum of 15 (fifteen) days of registration:
• “Non-local” teams (with accommodation): €4,000.00 (four thousand euros) per team.
• USA teams: $4,000.00 (four thousand dollars) per team.
• Local teams: 20% of the total registration fee.
• Note: this amount is non-refundable in the event of withdrawal.
CLAUSE 2 — PAYMENT SCHEDULE (DEADLINES)
2.1 Second payment: 50% of the total amount must be settled up to 90 days before the tournament begins.
2.2 Final payment: 100% of the total amount must be settled, without exception, up to 60 days before the tournament begins.
2.3 Automatic block: if the reservation balance remains outstanding after the 60-day deadline, IberCup reserves the right to cancel the accommodation and participation without refunding any amounts paid.
CLAUSE 3 — NO FINANCING AND REACTIVATION
3.1 No advances: IberCup will not make any advance payments to providers (hotels) on a team’s behalf.
3.2 Reactivation of reservations: if a team with a cancelled reservation wishes to regularise its status, a new quote will be required. The team acknowledges that the new quote will be subject to the market prices applicable on that date, which are foreseeably higher than the original ones.
CLAUSE 4 — PAYMENT METHODS AND FEES
4.1 Bank transfer:
• Currency: euros (€).
• Charges: all bank fees are the client’s responsibility (the “OUR” instruction).
• Identification: the reference and team name must be included in the description.
• Restriction: international transfers are not accepted within 15 days of check-in.
4.2 Credit card: a 5% administrative fee applies to the total amount.
4.3 Exception (Brazilian teams): payments in Brazilian reais to the Brazil account — debit (3%), credit in a single payment (4%), credit by instalments (6%).
4.4 We will not accept bank transfer 15 days before the tournament starts. To the pending amount will be added 10% of administrative fee + 3,5% of payment platform.
CLAUSE 5 — COMMUNICATION PROTOCOL AND FRAGMENTED PAYMENTS
5.1 Single point of contact: teams must centralise payments through a single responsible person.
5.2 Penalty: should a team opt for individual payments (per player/family) instead of a consolidated group payment, a 20% administrative fee will be applied automatically to each individual transaction.
CHAPTER II — CANCELLATION POLICY
CLAUSE 6 — WITHDRAWAL BY TEAM OR PARTICIPANT
Applies to group or individual cancellations. The effective date is the date on which written notice is received.
6.1 More than 90 days before: a full (100%) refund is possible, excluding the first reservation payment and any unrecoverable costs.
6.2 Between 89 and 60 days before: a 50% penalty on the total amount (accommodation, transport and fees).
6.3 Less than 60 days before: a 100% penalty. No refund will be issued.
CLAUSE 7 — MEDICAL EXCEPTION (INDIVIDUAL CANCELLATION)
In the case of an individual cancellation less than 60 days before the tournament for medical reasons (supported by a certificate):
• The refund will be limited to a fixed amount of €100.00 (one hundred euros) per participant.
• The remaining amount is retained to cover logistical costs already incurred.
CLAUSE 8 — TOURNAMENT CANCELLATION (FORCE MAJEURE)
IberCup is not responsible for financial losses, flight costs or additional accommodation in the event of cancellation due to force majeure (war, strikes, natural disasters).
CLAUSE 9 — SPECIFIC COVID-19 / PANDEMIC POLICY
9.1 Cancellation at 60 days: refund less a 10% administrative fee.
9.2 Cancellation at 30 days: refund less a 20% administrative fee.
9.3 Cancellation less than 30 days before or during the event: no refund.
CHAPTER III — ACCOMMODATION AND CHECK-IN
CLAUSE 10 — CHECK-IN AND CHECK-OUT
10.1 Check-in: from 14:00. Early entry requires payment of an extra night.
10.2 Check-out: until 12:00. Delays incur an automatic charge for an extra night.
10.3 Access condition: check-in is only authorised after full payment of the balance and security deposits.
CLAUSE 11 — BUNGALOW RULES
11.1 Occupancy: based on 4 or more people.
11.2 Beds: at least one double bed per unit; this double bed must be shared by two people.
11.3 Dispersal: the team may be split across different areas of the park.
CLAUSE 12 — HOTEL AND HOSTEL RULES
12.1 Occupancy: based on 3 or more people.
12.2 Comfort: in triple/quadruple rooms, fold-away beds or sofa beds may be used, which may not be of the same quality as fixed beds.
12.3 Division: the team may be separated across different floors.
CLAUSE 13 — ACCOMMODATION FOR FAMILIES
13.1 Loss of benefits: families who do not book through IberCup forfeit access to the official package (local transport and special access to the complexes).
13.2 Exclusions: the family hotel package does not include airport transfers or transport to matches.
CLAUSE 14 — ROOMING LIST
14.1 Deadline: mandatory submission up to 30 days before.
14.2 Fine: late submission incurs a penalty of €10.00 per person.
14.3 Restriction: the list is only made available for completion once the total financial balance has been settled.
CLAUSE 15 — TOURIST TAXES
A mandatory municipal tax is charged on the final invoice (guests aged over 13; maximum 7 nights):
• Bungalows: €4.00 per person per night.
• Hotels: €2.00 per person per night.
CHAPTER IV — SECURITY DEPOSITS
CLAUSE 16 — ACCOMMODATION DEPOSIT
16.1 Amount: €500.00 per team.
16.2 Coverage: damage to rooms, facilities and transport.
16.3 Return: within 5 days of departure (if there is no damage). Where it depends on an external quote, up to 90 days.
CLAUSE 17 — LOGISTICS DEPOSIT
17.1 Amount: €150.00 per team (maximum €1,000 per club).
CLAUSE 18 — SPECIFIC SCHOOL DEPOSIT (HIGH RISK)
18.1 Amount: €500.00 per team (clubs with 4 or more teams: €2,000).
18.2 Deadline: payment up to 45 days before.
18.3 Total loss: damage to facilities, the consumption of alcohol/tobacco, or poor behaviour results in total forfeiture.
18.4 Return: up to 30 days after departure (if there is no damage). Where it depends on an external quote, up to 90 days.
CLAUSE 19 — LOCAL TEAM DEPOSIT
19.1 Amount: €150.00 per team.
19.2 Deadline: up to 45 days before.
CHAPTER V — TRANSPORT AND TRAVEL LOGISTICS
CLAUSE 20 — AIRPORT TRANSFERS
20.1 Not included: this service is not included in the base package (unless a private bus is contracted).
20.2 Deadline: flight information must be provided 45 days before. Late submission cancels the service without a refund.
20.3 Fragmented groups: for groups with different flights and fewer than 20 people per flight, IberCup guarantees only one group transfer. Extra transfers incur additional costs.
CLAUSE 21 — PRIVATE BUSES
21.1 Management: the team coordinates itineraries directly with the bus company.
21.2 Legal limits (non-negotiable): a maximum of 11 hours’ driving per day and 150 km per day, with a mandatory 9 hours’ rest. Any violation results in refusal of service.
CLAUSE 22 — PUBLIC TRANSPORT (IBERPASS)
22.1 Included: the IberPass (access to trains on the Cascais–Lisbon line only).
22.2 Excluded: “Metropolitana” and “Scotturb” buses (a “Viva Viagem” card, paid for by the participant, is required).
22.3 Play-offs: dedicated transport is provided only if the pitch is not covered by the public network.
CLAUSE 23 — FLIGHT PACKAGES
Base flight prices do not include airport taxes or fuel surcharges (approximately €200–€300 per person).
CHAPTER VI — ACCREDITATION (ONLINE AND ON-SITE)
CLAUSE 24 — ONLINE ACCREDITATION
24.1 Deadline: up to 30 days before the start.
24.2 Fines: non-compliance incurs a fine of €10.00 per person (with accommodation) or €5.00 per person (without accommodation).
CLAUSE 25 — VALIDATION AND VIRTUAL CARD
25.1 Essential requirement: only players with validated documentation and a photo in the system will have a Virtual Card issued.
25.2 Impediment: presenting a physical document at the pitch does not replace online accreditation. A player without a validated Virtual Card cannot play.
CLAUSE 26 — ACCREDITATION
26.1 Requirement: accreditation is only carried out online.
26.2 Local team logistics: collection is mandatory 2 days before the tournament. Collecting on the eve subjects the team to long queues without priority.
26.3 Failure to accredit (before the tournament): if the person in charge fails to complete the accreditation process at least 3 days before the start of the tournament, the team will begin its first match with a 3-point penalty (−3 points).
26.4 Failure to accredit (after the first match): if the person in charge fails to complete the accreditation after the first match, the team will be prohibited from playing the second match.
CLAUSE 27 — SUBSTITUTIONS AND LOSSES
27.1 Alterations: prohibited on-site. The only exception is a serious injury proven by a medical certificate.
27.2 Loss: reissuing credentials or wristbands costs €5.00 per unit.
CLAUSE 28 — DOCUMENTS AND VISAS
28.1 Visas: entirely the team’s responsibility. Visa refusal does not give rise to a refund.
28.2 Valid documents: passport or national identity card (government-issued and laminated).
CLAUSE 29 — FEDERATION AUTHORISATIONS
Foreign teams must send an authorisation letter from their federation to info@ibercup.com.
CHAPTER VII — CONDUCT, DISCIPLINE AND SECURITY
CLAUSE 30 — CONDUCT RULES (ZERO TOLERANCE)
30.1 Hierarchical responsibility: leaders are responsible and accountable for damage caused by their players.
30.2 Accommodation: quiet is mandatory between 23:00 and 08:00.
30.3 Transport: travelling without a t-shirt (bare-chested) is prohibited.
CLAUSE 31 — STRICT REGIME IN SCHOOLS
31.1 Prohibitions: the consumption of alcohol or tobacco inside the schools and within a 200-metre radius is strictly prohibited.
31.2 Maximum sanction: violation of this rule, or anything more serious such as drug use or any other unusual behave against staff or team, results in the immediate expulsion of the team and total loss of the deposit.
31.3 Respect for staff: constantly disrespect towards school staff results in a total loss of the deposit.
CLAUSE 32 — CONDUCT OF FAMILIES AND FANS
32.1 Vicarious responsibility: the team is responsible for the conduct of its fans.
32.2 Match sanction: the referee has the power to end the match and award a defeat to the team whose fans display violent or abusive behaviour.
32.3 Deposit loss: incidents involving fans result in the automatic loss of the security deposit.
CLAUSE 33 — INSURANCE AND WAIVER OF LIABILITY
33.1 Obligation: IberCup does not have group insurance. All participants must have personal/sports insurance.
33.2 Theft: the organisation is not responsible for theft, robbery or loss of belongings (money, electronics, equipment) in the accommodation, in transport or at the sports complexes.
33.3 Medical assistance: hospital invoices sent to IberCup will be redirected to the club with a €50 administrative fee.
CHAPTER VIII — SPORTS LOGISTICS AND INFRASTRUCTURE
CLAUSE 34 — WATER SUPPLY
There will be water points at the pitches. Filling and managing bottles is the teams’ exclusive responsibility.
CLAUSE 35 — CHANGING ROOMS AND HYGIENE
35.1 Rotating system: the changing rooms operate on a quick-rotation basis, for changing clothes only.
35.2 No showers: showering at the sports complexes is prohibited. Teams must shower at their accommodation.
35.3 Readiness: teams must arrive at the pitches already properly equipped for the match.
CLAUSE 36 — SECURITY AT PITCHES (LOCKERS)
36.1 No lockers: there are no secure places to store belongings in the changing rooms.
36.2 Storage of belongings: backpacks and belongings must be taken to the substitutes’ bench. The organisation is not responsible for damage or theft at the bench.
CLAUSE 37 — MEAL TIMES
37.1 Punctuality: teams may lose their right to a meal if they arrive outside the scheduled time.
37.2 Early matches: for early-morning matches, the team must request a “picnic box” from the accommodation the day before. IberCup does not arrange breakfast outside the standard times.
CLAUSE 38 — EXCLUSION FROM THE DRAW AND MATCHES
38.1 Draw: teams with outstanding debts are not included in the match-schedule draw.
38.2 30-day rule: teams with outstanding balances 30 days before the tournament are definitively excluded from the competition.
CHAPTER IX — FINAL PROVISIONS
CLAUSE 39 — LAST-MINUTE BLOCKS (ARRIVAL PROTOCOL)
Should a team arrive with residual debts, the following immediate blocks apply until the debt is settled in cash or by card:
• no boarding of airport transfers;
• no authorisation for hotel/accommodation check-in;
• no delivery of match materials.
CLAUSE 40 — IMAGE RIGHTS
Registration implies express, definitive, free and irrevocable authorisation to use participants’ image and voice in promotional materials, videos, live streaming and television broadcasts of the event, waiving any related rights.
CLAUSE 41 — PERSONAL DATA
The data collected is used for the organisation of the event and complies with the GDPR.
CLAUSE 42 — GENERAL PACKAGE EXCLUSIONS
It is hereby declared that the base package DOES NOT INCLUDE:
• personal extras (minibar/laundry);
• airport transport (unless contracted);
• transport to matches (if outside the official network);
• sports insurance;
• guides;
• tourist taxes.
CLAUSE 43 — PARTNERS AND THIRD PARTIES
The organisation assumes no responsibility for services contracted directly by teams from external partners (agencies, tours) suggested by the tournament.
CLAUSE 44 — SEVERABILITY
The invalidity of any clause does not imply the invalidity of the remainder of the contract.
CLAUSE 45 — JURISDICTION AND APPLICABLE LAW
For the resolution of disputes, the parties choose the courts of the district of the organisation’s registered office (Lisbon, Portugal), expressly waiving any other.
